Job Summary

AFIN Family Wealth Management is seeking a highly motivated Registered Sales assistant to join our team. The Registered sales assistant is a sales support position is expected to enhance the client experience by providing exceptional client service, supporting office functions as needed, assisting in safeguarding client assets, and serving as administrative and operational support to financial advisors. The registered sales assistant is responsible for understanding firm policies, procedures that will allow them to interact with financial advisor as well as new and existing clients. The sales assistant will perform a wide variety of functions independently, exercising confidential discretion and sound judgment in the performance of these duties. The assistant helps to screen phone calls and take detailed messages, maintain office files, keep calendar to include scheduling meetings, prepare mailings and routine correspondence as directed, attend meetings, and complete reports as requested.

Minimum Experience:

Preferred two+ years of sales support experience in the financial services industry or similar administrative support experience.

Education:

  • Bachelor's degree
  • Preferred 2+ years' experience as a Registered Sales Assistant
  • Life and Health insurance license
  • Series 7 and 66 (or 63 and 65)

Required Knowledge, Skills, & Abilities:

  • Proficient in Adobe Acrobat and MS Office Word, Excel, Outlook
  • Excellent customer service, communications and organizational skills
  • The ability to work on multiple projects simultaneous
  • Work independently as well as collaboratively within a team environment.
  • Positive attitude, high energy and professional demeanor
  • Excellent written and oral communication skills
  • Ability to exercise good judgment by recognizing urgency and setting priorities
  • Must pass criminal and credit background checks
  • Ability to quickly understand new concepts and learn new technology and systems
  • Knowledge of investment products, policies & procedures is required.

Job Duties and Responsibilities:

  • Provides daily administrative support for one or more assigned financial advisor(s). Processes all incoming business with follow-up to financial advisor and dealer or client as needed.
  • Sorting, reading and annotating incoming mail and documents, ensuring all documents are complete prior to obtaining executive's signature; composing responses or providing pertinent information for executive response, when necessary.
  • Manage meeting best practices, ensuring all meetings have a set agenda, materials are printed for attendees, and dial-in details are set up and confirmed.
  • Provides direct support to financial advisor by responding to client inquiries, processing new accounts, obtaining necessary account documents, resolving inquires.
  • Researches client and security information through the back-office system and communicates with the back office personnel of the broker dealers,Registered Investment Advisors and custodial firms to ensure all trades are processed correctly.
  • Maintain an FINRA compliant filing system with all records and assists in compliance review process.
  • Serves as liaison between client and sales and/or trading personnel.
  • Executes trades, as required
  • Maintains an up to date log of received checks
  • Answer and screen calls/visitors in a pleasant manner.
